Who is responsible?

Requesting an introduction

The contact form asks for your name, email address and phone number so we can contact you and arrange a free, no-obligation introduction together. Your request is not a confirmed appointment. Do not enter medical information; we discuss that personally.

Your request is stored privately with Supabase in Frankfurt and forwarded via Resend to info@spine-clinics.nl, the shared reception for Spine Clinics and Energy Clinics. The email is clearly identified as an Energy Clinics enquiry. We process your information to respond to your request, not for newsletters or automated marketing sequences.

Requests remain in our request storage for a maximum of 90 days. The retention periods below apply to subsequent email correspondence. Only authorised staff may view requests.

Requesting the information guide

For the information guide, we ask for your name, email address and phone number. We use these details to record your request, email the guide and handle any questions about your request. The legal basis is taking steps at your request before a possible agreement. You are not automatically subscribed to a newsletter and do not receive a marketing sequence based on this request.

Requests are stored securely with Supabase in the Frankfurt region. Automated emails are sent via Resend using the Ireland sending region. Our regular mailbox is provided by mijn.host. Request data is deleted from our request storage within 90 days. If you contact us afterwards, the retention periods below apply to that correspondence.

To prevent abuse, we limit repeated requests. For this, we keep an encrypted derivative of the IP address and email address for up to two days. The form does not request medical information. The website has no online payment function or patient account.

Energy check and knowledge library

Your energy-check answers are used only temporarily on the page to show general orientation. We do not store these answers or send them to a server. The check does not diagnose. Searching and filtering the knowledge library also takes place in your browser. Your choice of tiles or list may be remembered locally in your browser.

Hosting and technical data

The live website is hosted by Vercel. When you request a page, the hosting service processes technical data such as your IP address, requested page, time and browser information. This is necessary to serve the website, investigate faults and prevent abuse. Our legitimate interest is a secure, functioning website.

Fonts and images load from the website itself. Hosting data is not used for advertising profiles. Google Analytics loads only with your permission; its settings are described below. Technical logs are kept no longer than necessary for their operational and security purpose; available retention periods depend on the hosting service and settings.

Vercel may process data outside the European Economic Area while providing its services. The safeguards described by Vercel are set out in its privacy information and data processing terms.

Google Analytics and your choice

With your permission, we use Google Analytics 4 to see how the website is used and how many requests arrive through it. We measure general page groups, contact clicks and successfully received requests. We do not send names, email addresses, phone numbers, form content or energy-check answers to Analytics. Articles and treatment pages are measured as general page groups; specific medical topics and URL query parameters are not sent.

If you choose Necessary only, we do not load Google Analytics. You can change your choice at any time using Cookie settings at the bottom of the website. We remember that choice on your device for up to 180 days. With permission, Analytics uses cookies with a random browser identifier and a configured lifetime of up to 180 days. If you withdraw permission, we remove these Analytics cookies on this domain and stop further measurement. Previously collected data is not automatically deleted.

Google also processes technical information for measurement, such as browser and device data and the IP address used for the connection. According to Google, GA4 does not log or store individual IP addresses. User and event data in the property is retained for two months; aggregated standard reports may remain available longer. We do not use Google Signals, advertising personalisation or a Google Ads link.

Your consent is the legal basis for this measurement. Google may process data outside the European Economic Area. More information is in Google's privacy policy and data processing terms. Contact us with questions or requests about your data.

When you contact us

The contact page lets you call or open an email in your own email app. We use the details you share to answer your question or prepare an introduction. The legal basis is handling your request before a possible agreement, or our legitimate interest in answering other questions. Preferably do not share extensive medical information by ordinary email.

Contact details are retained no longer than necessary to handle the enquiry and any follow-up arrangements, unless a statutory retention duty applies. A healthcare record and its retention periods fall outside this website; you receive information about those when starting care. Google Maps opens only when you click the directions link yourself. Google's privacy policy also applies from then on.

Your rights and questions

You may ask which personal data we process about you and, where applicable, request access, correction, deletion, restriction or portability. You may object to processing based on legitimate interests. We normally respond within one month. To protect data, we may verify your identity appropriately. You may also complain to the Dutch Data Protection Authority.
